Job Description
Project Overview: We require the construction of two internal staff onboarding and training portals (Sales and Operations). We need a clean, modern UI, a specific modular curriculum structure implemented, onboarding feedback mechanisms added, and the domain routing set up safely. We are open to building this via a free WordPress LMS plugin (e.g., TutorLMS) on our xneelo server, or mapping our subdomains to an AppSumo Lifetime Deal (LTD) SaaS like OnlineCourseHost.com. Please state your platform preference in your bid.
Phase 1: Technical Routing & Custom Domains
Safe DNS Configuration: Route [login to view URL] and [login to view URL] to the respective portals. CRITICAL: You must do this by adding CNAME records in our Cloudflare account. You are strictly forbidden from altering our root Nameservers or MX records.
Low-Friction Access Provisioning: Ensure login portals are set up so team members can log in via their provided company email/password. Because this is for quick reference and not strict compliance tracking, the login process must be extremely low-friction (no complex enrollment gates). Set up single-level access for now, but architect the portal so we have the option to tier access for future roles.
Phase 2: UI/UX Redesign & Layout
Template Approval: Before building out the full portal, you must provide 2 to 3 distinct UI template mockups (matching the left-hand navigation requirement) for management to review and approve.
Left-Hand Navigation: Use a traditional LMS left-hand persistent sidebar index so staff can easily navigate between modules.
Header Optimization: Ensure hero banners at the top of the portal are slim so the training modules are immediately visible above the fold.
Branded Thumbnails: Use visually distinct, branded thumbnails for the module cards.
Content Formatting & Data Entry: You will be provided with two comprehensive internal SOP Word documents. You must meticulously transfer this content into the LMS, preserving all emojis, nested bullet points, and creating native tables (e.g., for our Objection Handling matrix) using the platform's block builder to ensure high readability.
Robust Global Search: Staff will use this portal as a daily reference tool (e.g., searching "how to process a refund"). The UI must feature a highly visible, powerful internal search bar (or AI-assisted lookup) so users can find specific SOPs and answers in seconds without clicking through multiple modules.
Phase 3: Curriculum Structure & The "Noticeboard" Restructure the portal content into the following nested hierarchy:
Lightweight Maintenance & Backend Fluidity: The portal must act more like a lightweight resource library than a heavy, rigid academic LMS. Management must be able to log in and swap out an outdated video or policy document in under two minutes without breaking a formal course structure or rebuilding a module. You must use a simple drag-and-drop or WYSIWYG editor. You must not hardcode these pages.
Dynamic Noticeboard (Changelog): Build a primary "Noticeboard" page at the top of both portals. This will act as a changelog where management can post quick notifications whenever a page or video is added/removed.
Sales Portal Modules:
Welcome, Company Mission & Sequential Onboarding (Grouped into clear progression blocks: Basic Essentials, Core Systems, and Deep Dives)
Product & Catalogue Overview (Microscopes, STEM Kits, Robotics)
CRM (ActiveCampaign) & Quoting (Omni) Walkthroughs
Sales Process, Cold Calling & Scripts
Objection Handling & Negotiation Tactics
Marketing & Social Media Strategy
Customer Support, Returns & Problem Solving
Ongoing Staff Training (Fluid Video & SOP Area): A dedicated, easily updatable section for continuous learning. Must include initial sub-pages for: AI Use for Daily Duties, Client Issue Frameworks, and Advanced Objection Handling (Jeremy Miner Videos).
Extra Reading (Success habits, Time management)
Operations Portal Modules:
Welcome, Operations Overview & Sequential Onboarding (Grouped into clear progression blocks: Basic Essentials, Core Systems, and Deep Dives)
Daily Warehouse Operations & Safety (HSE)
Inventory & Supplier Management
Packing Protocols & Labelling (Chemicals vs. Equipment)
Dispatch, Delivery & Export Procedures
Returns, Credits & Damaged Goods SOP
Equipment Maintenance & Quality Control
Ongoing Staff Training (Fluid Video & SOP Area): A dedicated section for continuous operational learning (e.g., new AI efficiency workflows, updated safety videos, or new equipment tutorials).
Phase 4: Feedback & Handover
Feedback Integration: Embed a simple feedback form at the end of the onboarding modules to allow new staff to rate the onboarding experience, report confusing materials, and suggest new ideas.
Standard Operating Procedure (SOP) & Video: Provide a simple, 1-page PDF instruction guide with screenshots, accompanied by a short Loom video walkthrough, showing management exactly how to log in, add new content to the specific categories, and update the Noticeboard page.
Budget & Milestone Payment Structure Payments will be strictly tied to the following escrow milestones:
Milestone 1 (20% - Technical Setup): Released when the chosen platform (TutorLMS or AppSumo LTD) is successfully installed and securely mapped to [login to view URL] and [login to view URL] without any interruption to our main [login to view URL] website or emails.
Milestone 2 (30% - UI & Structure): Released when the left-hand navigation is active, branded thumbnails are uploaded, and the empty nested category hierarchy (including the Noticeboard) is fully built out for both portals.
Milestone 3 (40% - Content Upload): Released when all provided Word Document SOPs and external video links are uploaded, formatted with blocks/dividers/tables for readability, and the feedback forms are embedded.
Milestone 4 (10% - Handover): Released upon successful end-to-end testing of the logins, and the delivery of the 1-page PDF Noticeboard SOP and Loom walkthrough video.
