Virtual Assistant Needed for Commercial Realtor

I am a REALTOR and Commercial Specialist, serving Maryland, Washington DC, and the broader DMV. My practice covers leasing and acquisition across office, retail, and flex in the DMV, representing both landlords and tenants.

I am looking for one dependable, long term virtual assistant who understands commercial real estate and can also run AI tools and automated workflows. This is not a data entry role. I need a proactive operator who can take ownership of systems, keep deals moving, and help me turn a busy pipeline into closed transactions.

What you will do

Transaction support

Track active tenant rep, landlord rep, and acquisition deals from first inquiry to close
Prepare property comparison tables, tour schedules, and requirement summaries
Organize LOIs, lease abstracts, broker flyers, and deal documents
Draft follow up emails to brokers, landlords, and clients for my review

CRM and prospecting

Clean and segment a large CRM database (BoldTrail) by industry, county, and property type
Build targeted prospect lists of business owners, landlords, and investors
Run and monitor outreach sequences and log all activity accurately

AI and automation

Build and maintain workflows in n8n (lead pulls, CRM updates, follow up reminders)
Use Claude, ChatGPT, or similar tools to draft content, summarize documents, and research properties
Help design and improve AI agents that automate repetitive tasks
Suggest better tools and processes as you learn the business

Marketing

Create listing flyers, social graphics, and property marketing materials
Schedule and distribute content across LinkedIn, Facebook, Instagram, X, and other platforms
Research listings and market data using LoopNet, Crexi, CoStar, and county records
Write short listing descriptions and email campaigns

Requirements

Proven experience supporting a commercial real estate broker, investor, or firm (please share examples)
Hands on experience with n8n, Zapier, Make, or similar automation platforms
Strong working knowledge of AI tools and prompt writing
Familiarity with CRE terms such as NNN, CAM, TI, LOI, and cap rate
Canva or Adobe skills for marketing materials
Excellent written English and clear, professional communication
Reliable availability with at least 3 to 4 overlapping hours with US Eastern Time
Self starter who flags problems early and brings solutions, not just questions

Nice to have

Experience with BoldTrail, Salesforce, HubSpot, or another CRM
Knowledge of the Maryland, DC, or Virginia commercial markets
Basic video editing for short social clips

Engagement

Available to work full time
Monthly retainer, based on experience
Paid trial task before a long term offer
This is a support role. You will not negotiate, show property, or give real estate advice on my behalf.
All client and deal information is confidential. An NDA will be required.
